Privacy Statement

Vine Research Ltd Privacy Notice effective from 25 May 2018

If you have been invited to take part in a Vine Research project you will have given your consent for us to receive your contact details (name, address, home and/or mobile phone number) and the details you gave about yourself in the recruitment screening process. Where possible we are only provided with your first name and mobile number, rather than your full name and address.

The information passed on to us is processed lawfully, held securely and used solely for the market research project you have been invited to take part in. Your details are never shared, beyond the specific research project and they are never passed to the client in full, unless you have given consent to this for a specific reason – for example if a client needs to directly send you a product to trial.

Before the session you will be asked to complete a consent form which clearly outlines how we will control and process your personal data – your personal data includes not just your contact details but also any video /photos /audio we have taken during the interview/research session. You will be given the chance to be emailed a copy of the consent form to keep for you records.

You can withdraw your consent at any time during the interview process or subsequently by emailing consent@vine-research.co.uk . If we no longer hold your personal data, you will need to contact the client directly if you also want to withdraw consent from their use of it. The client will have been named at the point of giving consent and we can also provide contact details if required.

The consent form may have some specifics relevant to your project but as standard the following happens upon completion of a research project:

All information will be reported to the client paying for the research anonymously with the following exceptions providing you have agreed to them via the consent form:

o Audio, or video clips, or photos from your interview, group, panel or interview homework: These will be shared with the client and only used for market research purposes. Whilst we won’t identify you by naming you, your image /video may be used to help to bring to life findings, and what you say during research might be directly quoted, although always with a pseudonym.
o Clients will not be permitted to use the audio/ visual materials beyond the scope of market research project, although this could include at conferences where third parties from other organisations are present.
o You may be asked to share photos, audio clips or videos with other participants and clients as part of the market research process too. We’ll let you know this is going to happen before you are asked to share anything, and it’s up to you what you want to share. Again, the other participants won’t know any identifying personal details about you – other than the images or thoughts you chose to share.

How long we keep your personal details for:
• We will keep on file your personal details (name, address, phone number and any other personal data collected) no longer than 2 months after the project has been completed. After that time all your details will be destroyed both in electronic and paper copy.
• Research findings, quotes, audios and video will be kept on file for up to 2 years.
• You will be asked to sign a consent form at the end of the research to agree to how long the client can keep materials – this will be set on a project by project basis.
• We will store your personal details (that don’t form part of the research materials i.e. phone number, address etc) in a manner that ensures appropriate security, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage using appropriate technical or organisation measure to protect your personal information.
